Stop scrambling to remember color formulas. Learn how to build a client directory that stores formulas, preferences, and visit history.

The Color Formula Problem

Your regular comes in after 8 weeks: "Same as last time." But what was last time? Was it 7N + 10 vol, or 7NA + 20 vol? Did you add a gloss?

Every stylist has been there. Scribbled notes on paper, sticky notes on mirrors, or just hoping you remember. It works until it doesn't — and then you're guessing on a $200 service.

What to Record for Every Client

For each visit, track:

• Date and stylist • Natural level and % gray • Formula: brand, shade(s), developer volume, ratio • Processing time • Technique (full head, balayage, highlights, root touch-up) • Results and client satisfaction • Photos (before and after) • Notes: "She runs warm, go a half-shade cooler next time"

This takes 60 seconds after each appointment but saves hours over time.

Paper vs. Digital

Paper cards work but they get lost, damaged, and can't be searched. If a client calls and asks "What color did Lisa use on me in January?" — good luck finding that card.

Digital client directories let you search by name, see full history, and access records from any device. Any booth renter working in multiple locations needs digital records.

Color Formula Best Practices

1. Record the formula immediately after mixing — not at the end of the day 2. Note any adjustments you made and why 3. Take a photo of the final result in natural light 4. Include the client's feedback ("loves it" or "wants more warmth") 5. If multiple stylists work on one client, make sure ALL of them can access the record
