The Freelancer Invoice Format

Header: Your name/business name + "INVOICE" Invoice #: Use a system (INV-2026-001) — never reuse numbers Dates: Invoice date + payment due date Client info: Company name, contact person, address Line items: Be specific ✗ "Web design: $3,000" ✓ "Homepage design (3 rounds of revision): $1,500" ✓ "About page design: $750" ✓ "Contact form integration: $750" Knowing exactly what each dollar covers prevents disputes.

Handling Late Payments

Day 1 overdue: Friendly email — "Just checking in on invoice #INV-XXX" Day 7: Firmer — "Payment is now 7 days overdue per our agreement" Day 14: Direct — "Please arrange payment within 48 hours to avoid the late fee specified in our contract" Day 30+: Consider collections or stopping future work

Prevention is better: take a 50% deposit before starting any project over $1,000.
